This Federal Government Department are looking for an Assistant Director to assess, map, and document agreed business processes for scheduling and deployment.
Key duties and responsibilities
- Undertake discovery, review, and documentation of the end-to-end function of scheduling and deployment processes.
- Support the Director to examine and analyse the current state of the business and recommend innovative solutions that can translate into operational reforms.
- Identify key areas where instructional material is required.
- Identify and assess the impacts of ongoing issues.
- Identify opportunities to simplify current processes.
- Design and document changes, improvements and enhancements that can provide immediate and medium-term improvements.
- Clarify owners, roles, and responsibilities of key activities undertaken during the scheduling and deployment process.
- Assess the role and responsibilities of the Portal Support function including where this best aligns and the linkages to industry.
- Support the Director to provide advice to the Operations Assistant Secretaries on improvement opportunities, which may involve collaboration outside of the Division.
- Create a verification process to support operational staff and to identify training needs, and
- Create a review schedule/mechanism for instructional material and decision support material to ensure currency is maintained.
- Engage and collaborate with internal and external stakeholders to identify opportunities, achieve outcomes, and facilitate cooperation.
- Effectively manage competing priorities including delivering on complex project outcomes

Knowledge and experience
The successful applicant will have:
- understanding of the strategic direction of the department and division.
- understanding of process analysis, admin design, process improvement and change management.
- experience in project coordination and delivering sound outcomes for an operational business.
- experience in implementing change and managing ambiguity in the workplace.
- high level writing skills with demonstrated experience delivering a range of written products including briefings for senior executives, minutes, policy documents and technical documents.
Skills and capabilities
The successful applicants will have the following skills and capabilities:
- demonstrated ability in developing and implementing/supporting process improvements and changes to operational practice.
- demonstrated ability to work consultatively and build relationships with a wide network of stakeholders from operational, policy and enabling areas.
- demonstrated ability to investigate, research, analyse, interpret and evaluate information from conversations, meetings, project documents, communication products and other technical documents.
- ability to effectively engage and negotiate with influence with internal and external stakeholders.
- objectively assess opportunities and provide strategic advice.
- ability to prioritise tasks, adapt to change, and be outcomes focused with a view to improve bio security operations as well as staff and client interactions.
